Position Overview

We are seeking a highly organized, customer‑focused Dispatcher to serve as the central communication hub for our HVAC service team. This role requires exceptional phone comfort, strong multitasking skills, and the ability to coordinate technicians, customers, and schedules in a fast‑moving environment. The ideal candidate thrives on helping people, solving problems, and keeping operations running smoothly.

Key Responsibilities

  • Answer incoming service calls with professionalism, clarity, and a customer‑first mindset.
  • Gather essential information, assess urgency, and schedule service appointments accordingly.
  • Dispatch technicians based on skillset, location, workload, and priority.
  • Maintain real‑time awareness of technician status, job progress, and schedule changes.
  • Communicate updates to customers regarding arrival times, delays, and follow‑up needs.
  • Enter service requests, notes, and updates into the company’s service management system.
  • Coordinate with service managers and account managers on urgent issues, parts needs, and customer expectations.
  • Support after‑hours or emergency call routing as needed.
  • Assist with light administrative tasks such as work order processing, PM scheduling, and documentation.

Qualifications

  • 3+ years of dispatching, customer service, or administrative coordination experience, preferably in HVAC, trades, or service industries.
  • Exceptional phone presence — calm, clear, friendly, and confident.
  • Strong customer‑service instincts and the ability to de‑escalate or problem‑solve in real time.
  • Ability to multitask, prioritize, and stay organized under pressure.
  • Comfortable working with scheduling software, digital work orders, and basic office tools.
  • Strong written and verbal communication skills.
  • Dependable, detail‑oriented, and able to work independently.
  • Familiarity with HVAC terminology or service workflows is a plus but not required.

 
Preferred Experience (Not Required)

  • Experience dispatching field technicians or coordinating service routes.
  • Knowledge of service management platforms (ServiceTrade, FieldEdge, etc.).
  • Prior experience in a fast‑paced call‑handling environment.
